Look up 'India provinces' or 'Egypt provinces'. That's what I do.

Isn't it just easier to have one map and when someone conquest a province to fill it up in MCPaint? Why is such a big deal if the little of the top is cutted of?

If G-Tech doesn't mind doing it the current way I see no problem with it. If you want to use that map to show him what you've conquered then sure. Maybe we don't want to be bound by provinces.
